Instructions on Using TeleView Software

TeleView software is the easy solution for viewing remote CART over the internet. At this time, the Teleview software will only interface with CART providers utilizing Eclipse software.

The viewer/consumer/client must have a computer with an internet connection and a browser, such as Internet Explorer, and a method of getting the voice of the speaker/s to the CART provider in the remote location. This is usually accomplished with a telephone line and headset/microphone worn by the speaker/s.

Connecting to Server

In order to connect to the server, you will need the I.P. address of the CART provider. Everyone that intends to connect to the server will need this information. The I.P. address is assigned by the server and cannot be changed. Most I..P. addresses look something like, 66.25.178.8. Depending upon your Internet Service Provider, you will either type in just the number or type in http:// directly preceding the number and then the number.

Every person wishing to view the remote CART must enter the I.P. address of the server into their browser’s address field. The browser will then be directed to a web page containing the viewer applet. It is from this page that you will access the server and view the remote CART output.

Once you enter the I.P. address, you will see a screen that says “Teleview, Version 1.x” and it will take a minute or so to load. Once you are at the web page, you will be asked to enter a username (your name) and password (you will need to obtain the password from the CART provider) in order to be connected to the server. Once you have entered your username and password, you will be connected to the server and the TeleView viewer will open.

TeleView Viewer

The TeleView viewer allows you to see the remote CART output in realtime. The viewer will default to black and white colors, single spacing. The margins are controlled by the CART provider, but all other viewing options are controlled by the viewer.

There are several view enhancers available with the TeleView Viewer that will make it easier to view and customize the screen to your preferences. Under the View menu on the TeleView toolbar, you can change the font size, type, line spacing, and foreground and background colors.

It is not recommended that the “Dialogue” font be used. If the “Dialogue” font is chosen, the appearance of the transcript may suffer greatly. We recommend a blue background with yellow foreground and double spacing. If you are projecting the text onto a big screen, we recommend you use a large font size, 38 to 40. The CART provider can adjust the margins to fit the font size.

The default setting for the viewer is to have the transcript appear without timecodes or line numbers. However, you have the option of having timecodes, line number or both appear on the transcript. Time code and line number preferences can be changed within the viewer by going to the “view” menu and clicking on “timecodes” or “line numbers”, whichever is appropriate. (A check by either timecodes or line numbers signifies that the checked item will appear on the transcript.)

The most frequently asked question to date is: How do I view the text in follow-along mode? (The text is not scrolling with the speaker or you are viewing the middle of the transcript and not the end.)

When you see the transcript on the viewer, it should default to follow-along mode. However, if this does not appear to be working, put your cursor at the end of the document and press the “control” and “page down” keys at the same time.

ChatBack

If you would like to “chat” over the computer with the CART provider during your session, press the “control” and “enter” keys at the same time and a chat box will appear. Type in your comments and press enter.

Notes and Marking

The following Notes and Marking options are not recommended for viewing remote CART except during one-on-one sessions.

Under the Notes menu are functions to conduct word searches, make notes, mark lines and change the appearance of the transcript on the viewer.

TeleView Viewer has two options for performing word searches. These options are text search and hot words. Doing a text search, gives you the ability to look for specific words within the transcript. To perform a text search, go to the “search” menu and click on “find text”. This will open a search box where you can enter the words you wish to search for along with search parameters such as matching case and whole words. Search parameters can be added to text searches by clicking the box next to the parameters the client wishes to include. Those parameters that have a checkmark next to them will be included in the search. Once words have been entered into the search field and the “find next” button clicked, the actual search will begin. When a match is made within the transcript, the viewer moves the transcript so that the first match is viewable, as well as highlighting every match in yellow. (There is no option at this time to change the color used to highlight word search matches.) By continuing to click “find next”, you will be able to view every match made within the transcript.

The other option for doing text search is the use of “hot words”. Using hot words gives clients the option of having key words appear in a different font color throughout the transcript. The default font color for hot words is red. There is no option available at this time to change the font color. There is no maximum number of hot word searches you may perform.

The viewer also gives you the option of making “notes and marks” on the transcript itself. Those wishing to make notes or mark lines on a transcript will need to turn the “notes and marks” option on. To turn on notes and marks, go to the view menu and click on “notes and marks”. When the “notes and marks” option is turned on, a checkmark will appear on the drop down menu next to this option.

Notes can be made next to any line in the transcript. In order to make notes next to a particular line, click on the line and hit enter. A text box will then open and you can make notes within that box. There is no character limit when making notes. Once finished making notes, save by clicking the “ok” button at the bottom of the text box. Once you have saved notes, then an “N” will appear on the transcript to show that there are notes associated with that particular line.

You also have the option of “marking” a line on the transcript. You can use this function to call attention to areas of a transcript to remember to review later. In order to mark a line, click on the line you wish to mark and hit the space bar. A black dot will then appear next to the line marked.

Ending a Session

When the remote CART session is finished, the CART provider will stop the server.
Stopping the server does not close out the viewer on each viewer’s computer. You may continue to view the transcript as long as the viewer and browser window remain open on your computer. If the CART provider has allowed ASCII access, the viewer may save the ASCII ouput by going to the file menu and selecting save. The file will be saved to your browser, at which time you may block and copy the file to any word processing program. If the ASCII acess is not allowed, once the browser window or the viewer itself is closed, you will be unable to regain access to the transcript.

Troubleshooting

If you encounter problems while using TeleView, the chart below offers some solutions for common problems. This chart is not meant to be comprehensive; therefore it does not cover every problem that may occur.
(“Client” refers to you as the viewer; “Reporter” refers to CART provider)

Common Problems Possible Causes Possible Solution
Client unable to view transcript and reporter is behind a network firewall
Reporter is unable to use Port 80 behind the firewall

Network Administrator will need to setup a forwarding port* for the reporter to use

Client can’t find web page with viewer applet

Bad IP Address

Confirm client is putting the correct IP Address into the browser.
1
Too many users trying to connect to web page simultaneously
Have client wait a moment and try again

1
Client not connected to the Internet

Have client confirm they are connected to the Internet
Reporter using forwarded port (ex: Port 1234) The IP Address would need to be entered as http://123.456.789.58:1234

What client sees is not the same as reporter’s output

You have chosen a CIC File for the server other than the one you are using for job output

Close out the server and setup a new session using the correct output file

Client unable to view transcript and client is behind a network firewall Port used by reporter is being blocked by the client’s firewall

The client will need to contact their “Network Administrator” and have the port unblocked*
